A Path to Student Success at UW Oshkosh

I got on academic probation. Getting an email telling me that I couldn’t get financial aid because you have to meet the requirements, it was definitely heart-breaking.

I got caught up in my social life. And, you know, trying to be that cool kid on campus. And then trying to balance a collegiate sport at the same time was really difficult for me, so I had to pick which one. Something had to go, and I chose football. It had to go even though I had been playing for a while. Something had to go. I mean, at the end of the day academics is more important.

What I did was I said I’ll pay out of pocket. I was like I’ll save my money and I’ll take a couple courses. I took those two courses, and the financial aid office said “If you get two A’s in those courses, we’ll grant you financial aid.” Show us your improvement. So, I did just that. I did really well that second semester. I got like a 3.7 GPA and I was like wow I really can do this.

I would say use all the resources possible on campus. Don’t feel bad because you need help. There are probably a thousand other kids on this campus who have the same questions you have. The Student Success Center has definitely… has definitely helped me stay on my strict path to where I want to be. They always tell you “If you feel like this is going to be a struggle course do it right away.” Don’t wait until you fail the first or the second exam to be like okay now I need a tutor. Because then it’s probably too late. By then it really is the little things. You take the time to get a tutor now it’s going to help you in the long run. I meet with my advisor every week.

Looking back on where I started and where I am now lets me know that I can do it. I can’t stress that anymore that you can do it. You just gotta put in the work.

Academic Probation, Suspension and Suspension Appeals

A student with an overall grade point average (GPA) below 2.0 will be placed on probation and may be subject to suspension. Read the entire policy on WVU’s catalog website. Any current student on academic probation can raise their overall GPA to avoid academic suspension.

Academic Probation

Every student placed on academic probation must enter into a contract with their college, school or branch campus (i.e., Potomac State College, WVU Institute of Technology). Once the student completes their contract, they must fulfill all conditions of the agreement. If the student fulfills the terms of the contract and is suspended after the regular term, they can take part in the academic suspension appeal process outlined below.

Academic Suspension

Students who have had an overall GPA below 2.0 for three regular terms (consecutive or not) after initial admission are placed on suspension. Suspended students should refer to the University’s official suspension guide.

A student placed on academic suspension may choose to do any of the following:

  1. Serve the Term of Suspension – The duration of the suspension is based on the number of previous suspensions (served or unserved). The first suspension is for one calendar year. The second suspension is for one calendar year. The third suspension is for three calendar years. If a student receives financial aid, serving the term of suspension does not guarantee reinstatement of financial aid upon return. The student will need to submit a financial aid appeal at the conclusion of their suspension period if they wish to receive financial aid. Specific guidance on financial aid is provided on the Student Financial Services website.
  2. Take Summer or Winter Courses to Raise the GPA and Avoid Suspension – A student may register for courses at any WVU campus during the Summer term or Winter intersession to improve their overall GPA. If a student improves their overall GPA to 2.0 or higher they can continue with their studies in the next regular term. However, the suspension still counts as a prior suspension. If a student’s overall GPA is below 2.0 after the Summer term or Winter intersession, they will be removed from all registered courses for the next regular term and must serve the suspension.
  3. Appeal Academic Suspension – A student may appeal their academic suspension by applying for contractual readmission program (CRP) in late December or early June (exact date specified in the emailed notice of suspension). To appeal, a student must complete an online application no later than the date specified in their notice of suspension. Refer to the CRP Application (available December 1, 2020) to complete and submit the appeal. Questions may be directed to [email protected] A student should appeal if either of the two situations exist:
  • The student’s academic progress has improved in the most recent term(s), and they can improve their overall GPA to 2.0 or higher by the end of the next regular term.
  • The student experienced a traumatic event that prevented them from reaching an overall GPA of 2.0 or higher for the academic semesters under review. Supporting (third-party) documentation must be included with the appeal.

The CRP Application cannot be saved mid-progress. Once a student begins the application, they must complete it in its entirety or lose all work.
One of two decisions can be made by the student’s college, school or campus:

  • The appeal is granted and the student is reinstated for the next regular term under contractual readmission. The contract will specify the terms/expectations of academic probation. Any student who does not meet the requirements of the contract by the end of the next term and improve their overall GPA to 2.0 or higher will be required to serve their suspension beginning with the next (regular) term.
  • The appeal is denied and the student serves the academic suspension.

Applying for Readmission

A suspended student who wishes to be readmitted into the university after their required suspension period must contact their campus’s office of Admissions. A student may or may not be readmitted to their previous major at the discretion of their academic program. A student who is dismissed from their program or who wishes to change their major may transfer to another program if they meet the requirements and are accepted .

A reinstated student whose overall GPA is below 2.0 is given a contract that describes the conditions that must be met to avoid suspension in future terms. A student who completes baccalaureate-level coursework at another institution during the suspension may transfer the coursework to WVU with certain restrictions. A student who completes course work while on academic suspension must maintain an overall GPA of 2.0 at the transferring institutions in order to be eligible for readmission to WVU. If the student is eligible for readmission, the coursework taken in transient while on suspension is posted as “NOEQ” (no equivalent) and grades are posted as “CR” (credit received) until the student’s overall WVU GPA is 2.0 or higher. Once the overall WVU GPA is 2.0 or higher, the college/school can process a transient application retroactively to determine course equivalencies and change the CR grades to letter grades. A maximum of 18 hours of transient coursework may be rearticulated from NOEQ 1NT to equivalent WVU courses .

In order to return to WVU after serving a suspension, a student may need to complete and submit the undergraduate application. A student will need to select Readmit for student type when starting a new application .

How to appeal academic probation

To remain eligible for federal financial aid money — grants, work-study funds and student loans — college students must meet certain standards in the classroom. In financial aid speak, those standards are called satisfactory academic progress. Here’s an overview of SAP and how to appeal if you’re not meeting the required benchmarks.

What is satisfactory academic progress?

To meet the SAP standards and stay eligible for federal financial aid , students typically need to do all of the following:

Maintain a certain grade point average

Complete a certain percentage of attempted credits

Make progress toward completing their degree within a certain time frame

Each school sets its own satisfactory academic progress policy, but typically students need to maintain at least a C average and be on pace to complete their program within 150% of the program’s length, according to the 2016-17 Federal Student Aid Handbook. Some schools have SAP calculators to help determine your pace. Check with your school’s financial aid office to find out the specific requirements you need to meet.

What happens if you don’t make satisfactory academic progress?

If you don’t make satisfactory academic progress, the school may give you a financial aid warning. You’ll still receive financial aid during the warning period, which typically lasts for one academic term. If you don’t catch up by the end of your warning period, your federal financial aid will be suspended.

How to make a satisfactory academic progress appeal

If you lose your federal financial aid eligibility because you didn’t meet your school’s SAP standards, you can appeal if the school allows it. Your school may accept your appeal if you experienced one of the following situations:

You or an immediate family member has a serious illness or injury

Death of a relative

Other special circumstances, such as domestic violence or family issues

In your appeal, explain why you didn’t make satisfactory academic progress and give examples of what you’re doing to catch up. Include copies of any relevant documents, such as a doctor’s note or obituary.

What happens after you submit a satisfactory academic progress appeal

If your appeal is successful, you’ll be placed on financial aid probation and remain eligible for federal financial aid. During the probation period, your school may require you to have an academic plan for getting back on track.

If your appeal is unsuccessful, your financial aid will be suspended until you meet the SAP standards. Contact the school’s financial aid office to understand what you need to do to make satisfactory academic progress and your options for paying for college in the meantime. You may be able to get a private student loan , but some private lenders also require students to be making satisfactory academic progress.

Probation

A student whose cumulative grade point average (GPA) is below 2.0 after having attempted six (6) or more semester hours work will be placed on probation. Probationary status will remain in effect as long as the student’s cumulative GPA remains below 2.0. No student will be allowed to enroll for any course on a pass/fail or Credit/No Credit basis while on probation. Probation constitutes a period of formal warning that the student is doing unsatisfactory work.

The student is encouraged to use every opportunity during time on probation to seek counsel and guidance from various university agencies that have been established to offer assistance in study and academic planning. For information about these services, the student should consult with his or her academic adviser or counselor.

Students on probation are processed according to each individual college procedures. The university does not contact these students.

Suspension

St arting with the fall 2005 semester, students will no longer be suspended at the end of the fall term; students will only be suspended at the end of the spring term. This rule applies to all UNO colleges, including University Division, and all University of Nebraska-Lincoln based programs in the Colleges of Architecture, Agriculture, Education and Human Resources, and Engineering.

Students who are on probation will be suspended at the end of the spring semester when their semester grade point average is lower than 2.0 and the cumulative Grade Point Average (GPA) falls below the following standards:

Suspensions under these conditions will be automatic. Academic suspension will be for a minimum period of one year.

Students will be notified by their primary academic college of their suspension and given instructions on how to appeal, should they choose to do so, and any appropriate deadlines associated with an appeal.

Appeals properly filed shall delay implementation of the suspension until the appropriate appeals committee has acted. However, if the appeal is denied the student shall be disenrolled and tuition shall be refunded.

Reinstatement Following Suspension

Students wishing to be reinstated following their one-year suspension from the University of Nebraska at Omaha shall schedule an advising/reinstatement meeting with the College from which the student was suspended. It is recommended the student schedule an advising/reinstatement meeting at least one month prior to the official beginning of the semester or term for which the student is applying (refer to academic calendar for specific dates) in order to have their reinstatement hold released and be eligible to register for classes. If academically suspended students have not taken classes within the last two years, they will need to reapply to UNO first and then schedule their advising/reinstatement meeting.

Dean’s List

Full-Time Dean’s List and Part-Time Dean’s List

Students seeking their first bachelor’s degree are eligible for this academic honor. Students must earn a minimum of 12 quality hours with a minimum grade point average (GPA) of 3.5 in a given fall or spring semester for full-time students, and consecutive fall or spring semesters for part-time students. These academic honors are not offered during the summer term. Part-time students whose honors are considered on a continuous enrollment will have summer hours included in their calculations for Dean’s list.

Dean’s lists are posted to the academic record only during the fall and spring semesters.

Dean’s List is processed according to each individual college’s procedures. The university does not contact these students.

Chancellor’s List

Full-Time Chancellor’s List and Part-Time Chancellor’s List

Students seeking their first bachelor’s degree are eligible for this academic honor. Students must earn a minimum of 12 quality hours with a minimum grade point average (GPA) of 4.0 in a given fall or spring semester for full-time students, and consecutive fall or spring semesters for part-time students. These academic honors are not offered during the summer term. Part-time students whose honors are considered on a continuous enrollment will have summer hours included in their calculations for Chancellor’s list. Students earning these academic honors will also earn the corresponding full-time or part-time Dean’s List honor.

Students are expected to maintain a level of scholastic achievement that allows them to meet the grade requirements for graduation. Students remain in good standing when they maintain a UTSA grade point average of 2.0 or higher. Students who fail to maintain the minimum required grade point average of 2.0 in all work attempted at UTSA will be placed on academic warning, academic probation, or academic dismissal as appropriate.

Academic Warning

First-time undergraduates at UTSA, including transfer students, who were admitted in good standing and earn a semester GPA between 1.0 and 1.99 during their first semester at UTSA are placed on academic warning. New provisional students and students admitted on academic probation are not eligible for the academic warning status. At the end of their second semester of registration at UTSA, the academic standing of students on academic warning will move into good standing if their overall UTSA GPA rises to at least 2.0, or their academic standing will be changed to academic probation if their overall UTSA GPA remains below 2.0. Students on academic warning may enroll in no more than 13 semester credit hours in a Fall or Spring Semester and no more than 7 semester credit hours in a Summer Semester.

Students in good standing whose overall UTSA GPA falls below 2.0 (other than first-time undergraduates who meet the criteria for academic warning) are placed on academic probation. Academic probation will be cleared when a student achieves a 2.0 overall UTSA GPA. Students placed on academic probation must make a semester GPA of 2.0 or above in each semester of probation in order to remain enrolled. Students on academic probation whose semester GPA is below 2.0 will be placed on academic dismissal, even if their overall UTSA GPA is above 2.0. Students on academic probation may enroll in no more than 13 semester credit hours in a Fall or Spring Semester and no more than 7 semester credit hours in a Summer Semester.

Academic Dismissal and Reinstatement Policy and Procedures

Students on academic probation who earn a semester grade point average below 2.0 will be placed on academic dismissal. There are three types of academic dismissal, each of which is described below. If students believe there are nonacademic, extenuating circumstances that contributed to their inability to do well academically, they may appeal their dismissal. Students may appeal the decision through the Dean’s Office of their assigned college.

First Academic Dismissal:

Students, other than those classified as provisional students, who are placed on academic dismissal for the first time will be reinstated if they so choose after not attending UTSA for the next regular semester (Fall, Spring, or entire Summer Semester). Students seeking reinstatement must apply for admission with the Admissions Office by July 1 for Fall Semester, November 15 for the Spring Semester, and May 1 for the Summer Semester. Students on academic dismissal from UTSA may attend other institutions and transfer appropriate coursework completed to UTSA, but grades earned cannot count toward or be used to improve their UTSA grade point average. If a student does enroll at another institution, an admission decision will be made upon receipt of an official transcript that reflects grades on coursework taken at that institution during the period of dismissal from UTSA. Reinstatement requires a 2.0 grade point average using a four-point grade scale.

Typically, a student subject to dismissal will be dismissed. A student who wishes to appeal a dismissal should contact the student’s assigned academic advisor for processes and deadlines. In unusual circumstances, a student may be allowed to continue subject to conditions prescribed by the Dean.

Subsequent Academic Dismissal:

Students placed on academic dismissal for a second or subsequent time may be reinstated after not attending UTSA for one calendar year with the approval of the reinstatement committee in their assigned college. Each of these committees reports to a college Dean who has final authority for determinations of reinstatements.

Students seeking reinstatement must apply for admission to the Admissions Office and pay the reinstatement fee. The application for admission may be filed online. In addition to the application and fee payment, the applicant must complete a petition packet. The packet, including instructions, may be found on the Admissions Web site. The application, reinstatement fee, petition form and all required supporting documentation must be on file in the Admissions Office by June 15 for the Fall Semester; October 15 for the Spring Semester; and March 15 for the Summer Semester, to be considered by the appropriate reinstatement committee. The reinstatement committee’s decision, and any conditions of the decision, will be communicated to the applicant by the reinstatement committee. Students on academic dismissal from UTSA may attend other institutions and transfer appropriate coursework completed to UTSA, but grades earned cannot count toward or be used to improve their UTSA grade point average.
