How to Create a New Outlook.com Email Account

With a free Outlook.com account, you can access your email, calendar, tasks, and contacts from anywhere you have an internet connection. When you are ready to open a new email account at Outlook.com:

Open a web browser, go to the Outlook.com sign-up screen, and select Create free account.

Enter a username—the part of the email address that comes before @outlook.com.

Select the dropdown arrow at the far right of the username field to change the domain from the default outlook.com to hotmail.com if you prefer a Hotmail address. Then select Next.

Outlook.com Features

An Outlook.com email account offers all the features you expect from an email client. Plus it includes:

Outlook Mobile Apps

Download the Microsoft Outlook apps for Android and iOS and use your Outlook.com account on your mobile device. Outlook.com is built-in on Windows 10 phones.

The mobile apps include most of the features available with the online Outlook.com account, including a focused inbox, sharing capability, swipe to delete and archive messages, and powerful search. You can also view and attach files from OneDrive, Dropbox, and other services without having to download them to your phone.

Outlook.com vs. Hotmail.com

Microsoft bought Hotmail in 1996. The email service went through several name changes including MSN Hotmail and Windows Live Hotmail. The last version of Hotmail was released in 2011. Outlook.com replaced Hotmail in 2013. At that time, Hotmail users were given the opportunity to keep their Hotmail email addresses and to use them with Outlook.com. It is still possible to get a new Hotmail.com email address when you go through the Outlook.com sign-up process.

What Is Premium Outlook?

Premium Outlook was a stand-alone premium pay version of Outlook. Microsoft discontinued Premium Outlook in late 2017, but it added premium features to the Outlook desktop app that is included in Microsoft 365.

Anyone who subscribes to Microsoft 365 Home or Microsoft 365 Personal software packages receives Outlook with premium features as part of the application package. Benefits of Outlook for Microsoft 365 include:

  • 1TB mailbox per user.
  • Improved malware scanning.
  • An ad-free inbox.
  • Offline email composition and automatic syncing capabilities.
  • Custom domain.

To recall a message in Outlook, go to the Outbox folder and open the sent message. In the Message tab, select Actions > Recall This Message. You can’t recall Outlook emails in all circumstances.

To schedule an email in Outlook, compose your email, then go to Options. Under More Options, select Delay Delivery. Under Properties, select Do not deliver before and choose a time and date, then go back to your email and select Send.

Hotmail was one of the first public webmail services that could be accessed from any web browser. It debuted in 1996 and was acquired by Microsoft in 1997. Microsoft phased out Hotmail in 2011 and relaunched the service as Outlook.com in 2012. Outlook.com is a personal information manager web app from Microsoft consisting of webmail, calendaring, contacts, and tasks services.

Prior to Hotmail, email could only be accessed from a device with an application specific to the email provider, or required an Internet Service Provider (ISP) service agreement. Although many users today have @hotmail.com email addresses, the hotmail.com address now redirects to Microsoft‘s outlook.live.com site.

While users can still select @hotmail.com when creating a new email address, the service itself is still via Outlook.com. It’s worth mentioning Outlook.com is the free, web-based mail account and is not the same as Outlook, the mail client application of the Microsoft Office suite.

  1. Open a web browser and navigate to Outlook.com’s sign-in page: outlook.live.com/owa/.
  • Select Create free account.
  • Enter a username this is the part of an email address that comes before the @outlook.com. For easy identification, most people use their name, such as [email protected]

    On the far right of the username field, there is a dropdown arrow. If clicked, this dropdown arrow will reveal the other domain that can be used for an email address, hotmail.com. If the Hotmail domain is preferred, select it from the dropdown menu. The default domain will be outlook.comif not specified. Select Next.

    On the next page, create a password. Ensure this password is difficult to guess and has a combination of letters, numbers, and symbols. Outlook.com requires that passwords have at least eight characters and contain at least two uppercase letters, lowercase letters, numbers, or symbols. After you’ve created a unique password, select Next.

    On the following page, enter your first and last name in the fields provided. Select Next.

    On the next page, choose your country/region and enter your birthdate. Select Next.

    On the next page, enter the correct characters from the CAPTCHA image or rotate an image until it’s the right side up. Select Next.

    Outlook.com will then set up your email account and display a welcome screen. From this screen, you can set up other account features and settings, such as color themes, time zones, and contacts.

    To access your email account, select Sign inand enter your credentials on Outlook.com’s homepage specified in Step 1.

    Hotmail features in Outlook.com

    Outlook.com uses Ajax programming techniques and supports later versions of Internet Explorer, Firefox, Safari, and Google Chrome. Main features of the webmail service include sending, receiving, and managing emails, scheduling and managing meetings and events with Outlook.com’s calendar, getting detailed information about contacts when their name is hovered over, managing tasks with Microsoft To Do, and locating messages, people, and documents with the search function. These features are located all in one place for easy access.

    Outlook.com also adds travel itineraries and flight plans from emails to the calendar. It can attach files from Google Drive, DropBox, and OneDrive. Microsoft Office files can be edited straight from from an inbox. Other, more specific, features of Outlook.com include:

    • Email scheduling: Outlook.com allows an email to be written and then scheduled to send on the day and time you want it to go out. Once the email is written, navigate to Options>Send later.

    Fill in the date and time you’d like the email to be sent.

    • Template: For emails that are sent repetitively, the template feature allows users to save the text of an email, similar to a template. In future messages, the text can easily be inserted. To create a template, go to the three dots>My Templates.
    • Customizable email organization: Emails can be color coded according to keywords or content. For example, instead of unread emails marked in bolded font, they can be highlighted red, green, or any other desired color. Users can specify a keyword, and Outlook.com will highlight the keyword in a specified color if the subject line includes the keyword. Emails from specific contacts, such as a coworker, can be highlighted for easy visibility. Click the cog in the right hand corner >View all Outlook settings >General >Categories.

    Microsoft sometimes requests users to enter a phone number while creating an Outlook or Hotmail Account. If this happens, you can still Create Outlook Account Without Phone Number using different methods as provided below.

    Create Outlook Account Without Phone Number

    Usually Microsoft uses a Captcha test to verify human users and prompts for a phone number only if it suspects creation of multiple user accounts within a short period of time.

    Even if you are not creating multiple accounts, you may be flagged by this system and asked to enter a phone number.

    If for some strange reason Microsoft is requesting a phone number, then you can make use of methods as provided below to bypass the phone verification screen.

    The methods as provided below are listed in order of ease. Make sure that you try out all the methods, if the first few do not work.

    Method #1: Restart Router and Clear Browser Cache

    The reason for Phone verification, instead of the usual Captcha test might be due to your IP being present in the list of suspicious IP Addresses on Microsoft servers.

    The easiest way to bypass this block is to get a New IP Address by restarting your WiFi Modem/Router.

    Also, you need to clear the browser cache, in order to get rid of all the stored cookies that might be linked to the IP Address and your online behaviour.

    First, clear your browser cache by following steps provided in this article: How to Clear Browser Cache in Chrome.

    Next, Reset WiFi router by following steps provided in this article: How to Reboot Router and Modem.

    After completing the above steps, try creating a Microsoft Account once again and this time you should be able to create an Outlook account without phone number.

    Method #2: Use Outlook App

    Users have reported being able to create an Outlook account without phone number, when using the Outlook app, instead of the Outlook website.

    Download Outlook app on your smartphone and try creating an account from within the Outlook App.

    Method #3: Try Again Later

    If Microsoft is asking for your Phone Number, simply close the browser tab and try creating an Outlook Account after an hour or on the next day.

    This should work, because the request for Phone Number is most likely designed to prevent bots and automated programs from creating multiple Outlook Accounts in a short period of time.

    So, if you are being asked to enter a phone number, try creating an account a few hours later.

    If you immediately need to create an email account and cannot wait a few hours, you can follow the fourth method as provided below.

    Method #4: Contact Microsoft Support

    If all the methods above did not work, the only remaining option is to contact Microsoft support and tell them you do not have a phone number to verify your account.

    When you contact Microsoft support, they will make use of other methods (chat or email) to verify that you are human.

    Note: When you start chatting with Microsoft Support, you will be initially dealing with Microsoft Virtual Agent.

    This article explains how to forward email on your Outlook account. Outlook.com can forward incoming messages to another email address (at Outlook.com or elsewhere) automatically. Set it up to pass along all incoming emails. Or use message rules so that only email messages that match certain criteria are forwarded. Instructions in this article apply to Outlook on the web.

    Forward Email from Outlook.com to Another Email Address

    Configure Outlook on the web (at Outlook.com) to automatically forward emails you receive to a different email address.

    Select the Settings gear icon in the Outlook on the web toolbar.

    To set up a rule in Outlook on the web that forwards certain messages (based on multiple criteria) to an email address:

    Select Settings > View all Outlook settings.

    Enter a descriptive name for the new rule. Select a name that makes it easy for you to remember how the rule is used.

    • Choose Has attachment to forward all emails with attachments.
    • Choose From to forward all emails from a specific sender.

    • Select Forward to if you want the messages forwarded as an email.

    To archive emails in Outlook manually, go to File > Info > Tools > Clean Up Old Items. Select Archive this folder and all subfolders, and then navigate to the folder with the contents you want to archive. Select your archive date range and click OK.

    To delete multiple emails in Outlook in a folder, click Ctrl + A to select all the messages and press Delete. To delete a range of messages, select the first message, press Shift, scroll to the last message you want to remove, and then press Delete.

    Select the search bar above the Outlook ribbon, and then enter your search term. To specify search locations, choose All Mailboxes, Current Mailbox, Current Folder, Subfolder, or All Outlook Items. Refine search results further by choosing parameters like To, From, Subject, and Unread.

    When the new account setup dialog was added to Outlook, the ability to create new a “no mail” profile was removed. This ability is in the process of being restored, coming first to the Insider builds.

    As of Outlook 2016 Version 1709 Build 8518.1000, you can use a command line switch, /PIM, to start Outlook with a new, no mail, profile.

    Press Windows key + R to open the Run command, then type (or paste) Outlook.exe /PIM profilename and then click OK. Note: if the profile name you use contains spaces, you’ll need to use quotes around it: Outlook.exe /PIM “profile name”

    This creates a profile with a new Outlook data file; if you want to use an existing data file, add it to the profile after Outlook opens. Go to File, Account Settings, Data Files tab and add the existing data file. Set it as default and remove the one Outlook created.     If you have multiple email accounts in Microsoft Outlook, you can change the “From” address in a new email. This is quicker than swapping to a different inbox, and lets you send emails from different addresses, even if they aren’t your own. Here’s how—with some caveats.

    Outlook lets you send emails from any account you’ve set up in the email client, but also from any other email address, even if you haven’t set it up. That sounds worrying—and in some circumstances it is—but there are legitimate reasons to use this functionality as well as nefarious ones.

    We’ll go through how this works, and how email providers prevent people from using it for harmful purposes.

    Quickly Switch between Email Addresses

    First, let’s go through the entirely legitimate process. To change the “From” address, you need to make the “From” field visible. Open a new email in Microsoft Outlook and then click Options > From. This will make the “From” field visible.

    To change the “From” address, click the “From” button and select one of the email addresses you’ve added to Outlook.

    The email address in the “From” field will change, and when you send an email, it will be sent from that address.

    If all you want to do is quickly switch between your email accounts when you’re sending emails, that’s all there is to it.

    But, what if you want to send an email from an account that you haven’t added to Outlook? Well, Outlook will let you do that, too, under certain circumstances.

    Compose a new email and then click on the “From” button again. From there, select the “Other Email Address” option.

    In the panel that opens, type in the address you want to send an email from and click “OK.”

    Now send the message as normal. Will the email send, or will you get a delivery failure notification? And if it does send, will the recipient see it as coming from the email address you used, even if it’s not yours?

    Both of those answers are dependent on who your email provider is.

    How Email Providers Handle Messages Sent From a Different “From” Address

    Microsoft Outlook itself, and other email clients like Thunderbird or Apple Mail, don’t do any checking on the email address from which you send. The client simply sends the email to your provider’s SMTP server (Simple Mail Transfer Protocol server, often called a mail server), and lets the SMTP server decide what to do with your email.

    What will happen with your email is entirely dependent on how your email provider’s SMTP server is configured.

    The big email providers, such as Google, Microsoft, Apple, and Yahoo, use something called SPF (Sender Policy Framework), DMARC (Domain-based Message Authentication, Reporting, and Conformance), and DKIM (Domain Keys Identified Mail) to prevent (among other things) people from sending emails from addresses (spoofing) that aren’t theirs. How each provider handles this situation is a bit different.

    Google simply ignores the new email address you’ve used, and the recipient will see your Gmail address. In our example in the screenshots, Outlook sent the email to Gmail’s SMTP server, which worked out that the email address we were sending from—[email protected]—doesn’t belong to us, and so instead the recipient received an email from our original Gmail address.

    Microsoft-hosted email accounts do things a bit differently. If you try to send an email from an address that you don’t have permission to access, a Microsoft email server (commonly referred to as an Exchange server) will not send the email. You’ll receive a Delivery Failure Notification instead.

    However, if your company uses a Microsoft Exchange server to handle its email, it’s normally configured to allow you to send an email from any account you have access to, even if that account has not been added to your Outlook.

    For example, if you have permission to send emails from “[email protected],” Outlook will send the email to the Exchange server and check that you have permission to send emails from the address. The server will then send the email to the recipient, regardless of whether you’ve added the “[email protected]” account to Outlook.

    Other email providers will usually handle emails with the “wrong” address in a similar way to either Google or Microsoft. The easiest way to find out is to try it in Outlook and see what happens. Check your provider’s terms first though, as some might have a provision against doing this.

    How Do Scammers Use Fake “From” Addresses?

    Large email providers have all kinds of checks and protocols to try to find spam and phishing emails, including emails sent from a fake address. Scammers and phishers don’t use the big providers—they set up their own SMTP servers and send emails through those instead.

    Scammers set up their SMTP servers to allow all of their emails though, forcing large providers like Google and Microsoft into a constant arms race to detect and stop scam and phishing emails from getting into your inbox.

    Your email provider, be that Microsoft, Google, Apple, Yahoo, or any other provider, scans the email headers of every email you receive. One of the things these companies look for is that the “From” address matches the “Sender” address. If they don’t match, especially if they’re from completely different domains, that’s a red flag. It’s not the only thing that email providers use to determine if an email is suspicious, but it’s one of the more important checks they do.

    Auto Account Setup

    For any version of Outlook, the recommended method to configure any account is to use the Auto Account Setup wizard. This wizard opens up automatically when you choose to add an account to Outlook.

    The Add Account wizard in Outlook for Office 365, Outlook 2019 and Outlook 2016 also supports Two-Step Verification for Outlook.com accounts.

    An Outlook.com account can’t be configured over the Exchange ActiveSync (EAS) protocol in Outlook. The EAS protocol is intended to be used by the Mail app on smartphones and tablets or the Mail app in Windows 10.

    In most cases, these apps can automatically configure Outlook.com accounts. When this fails, then you can select the option to configure your account manually.

    The Server Settings form is usually quite easy to fill out with stuff that you know; name, email address and password (or App Password in case you have Two-Step Verification enabled). The only thing that might be daunting is the field for the mail server. Here you need to fill the following;

    If this form also contains a separate “Domain” field, leave this blank.

    Extra Tip! The Outlook app for iOS and Android do not require you to fill out any server details and also offer support for Two-Step Verification so you don’t need to use an App Password.

    Manual Configuration: IMAP

    When you have a special requirement to use an IMAP account type instead, you must use the manual configuration method. The server details to fill out are;

    • Incoming mail server: outlook.office365.com
    • Outgoing mail server: smtp.office365.com

    Then click on the More Settings… button to adjust the following settings;

    • Outgoing Server
      • enable: My outgoing server (SMTP) requires authentication
    • Advanced
      • Incoming server (IMAP): 993
      • Use the following type of encrypted connection: TLS
      • Outgoing server (SMTP): 587
      • Use the following type of encrypted connection: STARTTLS

    Note: When you have Two-Step Verification enabled for your account, you must use a special App Password instead of your regular password.

    Manual Configuration: POP3

    When you have a special requirement to use a POP3 account type instead, you must first verify that POP3 access has been enabled for your Outlook.com account and then use the manual configuration method in Outlook.

    Step 1: Enable POP3 access for your Outlook.com account

    1. Logon to Outlook.com and press the Gear icon in the top-right corner (left from your display picture)
    2. At the bottom click: View all Outlook settings.
    3. Verify that the Mail section is selected on the left and choose: Sync email.
    4. Scroll down to the POP and IMAP section.
    5. For “Let devices and apps use POP” select: Yes
    6. Optionally: Select whether devices and apps may delete the messages from Outlook.com once they have downloaded it from the server.

    The built-in poll feature, like the Quick Poll add-in, is only available for Office 365 and Microsoft 365. If you’re using a stand-alone version of Outlook such as Outlook 2016 or 2019, the poll option won’t be available to you.
